Built for how construction actually runs behind schedule

The parts of running a real project that a plain Gantt chart usually leaves out.

Delay event log

A dated record of what actually slowed the project — a late client approval, a weather stoppage, a third-party hold — with who's responsible and how many days it cost. The record to lean on in a variance conversation or an extension-of-time request.

Look-ahead scheduling

A rolling 2–4 week view of what's actually happening soon, grouped by week, with a separate overdue bucket for anything already running late. Print it and carry it into a Monday site meeting.

Resources & working calendars

Assign crews, equipment, or material lines to activities and see the weekly workload — flagged when it goes over a threshold you set. Mark a weekly off-day once and every date in the project respects it.

Multiple named baselines

Save a baseline once the plan is agreed, and another after any formal revision — each stays intact. Compare "behind the original contract commitment" against "behind the revised plan" as two different, honest claims.

Linear / time-chainage schedule

For route-based work — pole erection, conductor stringing, road or pipeline chainage — a Gantt bar only tells you "when." Give an activity a start and end location and it plots on a time-chainage diagram, showing exactly where progress has actually reached.

Variation order tracking

Log scope and budget changes with a reference number, description, and status. Only approved variation orders adjust the Budget at Completion your earned value numbers are measured against — pending and rejected ones stay visible without inflating anything.

Set the name, client, location, start date, and planned completion date — or import a bill of quantities from your Estima estimate to start with real activities already in place.

List activities with durations, group them under a Work Breakdown Structure if it helps, and connect them with predecessors — any of the four PDM dependency types, with optional lag or lead.

How the scheduling actually works

Understanding the critical path (CPM)
The Critical Path Method calculates the longest chain of dependent activities through your project. That chain has zero float (slack) and directly sets the earliest possible finish date. Activities off the critical path have float and can shift a little without delaying the project; activities within 5 days of zero float are flagged "near-critical" as an early warning. Estima Schedule recalculates all of this automatically every time you edit a duration or dependency — there's no separate float calculation to run by hand.
The four dependency types, and lag vs. lead
Finish-to-Start (FS) — the usual case — means an activity starts after its predecessor finishes. Start-to-Start (SS) means it starts alongside its predecessor. Finish-to-Finish (FF) means it finishes alongside its predecessor. Start-to-Finish (SF) is rare: it finishes when its predecessor starts. Every link can also carry a lag (a positive number of days to wait) or a lead (a negative number, letting the two activities overlap).
Baselines, and reading the Redline overlay
Save a baseline once your plan is agreed to freeze the original planned dates. Save another any time the plan is formally revised — earlier baselines stay intact for comparison. Turn on Redline in the Gantt to overlay a saved baseline as a dashed outline; any activity that has slipped gets marked in red with the exact number of days, borrowing the same convention as a corrected drawing marked up in red pen over the original blueprint.
Cost loading and earned value management
Add a budgeted cost to any activity to turn on the Cost & EVM tab — a genuinely cost-loaded schedule, not just a time-loaded one. It tracks Planned Value (PV), Earned Value (EV = budget × % complete), and Actual Cost (AC, entered manually), then derives Cost and Schedule Variance, CPI/SPI, and an Estimate at Completion using the standard BAC ÷ CPI formula. A CPI or SPI under 1 means over-cost or behind-schedule respectively. Projects imported from an Estima BOQ get their budgeted cost pre-filled automatically (quantity × rate).
The look-ahead schedule vs. the full Gantt
The full Gantt is for planning the whole project. The Look-Ahead Schedule is for running the week: it shows only what's happening in the next 2–4 weeks (adjustable), grouped by week, with a separate Overdue bucket for anything whose calculated finish has already slipped past today. It's the sheet built to print and carry to a site or client meeting.
Logging delays and variation orders
The Delay Log is a dated record of what slowed the project down — the affected activity (or a general, project-wide entry), who or what was responsible, and how many days it cost — the record to lean on in a variance conversation or an extension-of-time request. Variation Orders track scope or budget changes with a reference number and status; only approved ones move the Budget at Completion that your earned value numbers are measured against.
Cloud sync, backups, and where your data lives
Estima Schedule stores your projects locally on your device first — there is no server involved unless you sign in. Signing in is entirely optional and syncs your projects to your Estima account so the same data is available on your phone on site and your laptop in the office. Either way, export a JSON backup regularly from Settings; if a sign-in ever finds cloud data that doesn't match what's on your device, you're asked which one to keep — nothing is silently overwritten.

Is Estima Schedule free?
Yes — the free plan supports up to 3 projects with full access to the WBS, Activities, Gantt chart, dependencies, milestones, baselines, look-ahead scheduling, delay logging, and cost & earned value tracking. Nothing is feature-gated except the project count.
Does it work offline, and where is my data stored?
Estima Schedule is local-first: your projects are saved on your own device and the app works fully offline with no account required. Signing in is optional and only used to sync the same projects across your phone and laptop.
What exactly is the "critical path"?
It's the longest chain of dependent activities in your project. That chain has zero float, so any delay to an activity on it delays the project's finish date directly. Everything else has some float and can slip a little without changing the finish date. Estima Schedule recalculates this automatically using the Critical Path Method (CPM) every time a duration or dependency changes.
Can I bring a project over from the Estima cost estimator?
Yes — a bill of quantities can be sent from the estimator or EstimaOS straight into Estima Schedule with one click. Each line item becomes a starter activity, with its budgeted cost pre-filled from quantity × rate, ready for you to sequence and set durations.

Can I track cost and earned value, not just dates?
Yes. Add a budgeted cost to any activity to unlock the Cost & EVM tab, which computes Planned Value, Earned Value, Actual Cost, Cost and Schedule Variance, CPI/SPI, and an Estimate at Completion — standard earned value management, kept current with progress updates and approved variation orders.
Is this useful for linear infrastructure — roads, pipelines, transmission lines?
Yes, via the Linear Schedule view. Give an activity a start and end location along the route (in whatever unit fits — kilometers, pole numbers, chainage) and it plots on a time-chainage diagram showing progress against distance, which is the standard scheduling view for route-based work.
How does Estima Schedule relate to EstimaOS?
They're two of three connected Estima apps: the cost estimator prices the work, Estima Schedule plans and sequences it, and EstimaOS runs execution and billing once construction starts. Each app links back to the others, and an Estima Suite purchase covers Pro in both Schedule and EstimaOS.
